What Kubi can do with Google
Connecting Google is optional, and you connect each app on its own. Before Google's own screen opens, Kubi shows you what the app will allow, and nothing happens until you choose "I agree, continue to Google".
- Gmail: read your mail to answer your questions. Where the connection allows organizing, Kubi can also, when you ask, add labels, archive, mark mail as read or unread, and star it; it moves mail to the trash only after you approve, and never deletes mail permanently. Without organizing, Kubi does not change your mail. A mailbox connected for sending, your own Gmail or a business mailbox, can also send email, only after you approve each one.
- Google Calendar: see your calendar, and add, change or delete events you ask for. A deleted event stays in your Google Calendar trash for 30 days, where you can restore it.
- Google Drive: read your Drive files to answer your questions, and save files you ask for.
- Google Docs, Sheets and Slides: read your documents, spreadsheets and presentations to answer your questions, create new ones, and add to the end of ones you can edit.
Google's screen shows the same permissions for every account, the ones full access uses. Without full access Kubi still does only what is listed above.
Some accounts are offered full access. The notice before Google's screen says when yours is. With full access:
- Gmail: Kubi can also color labels, write drafts for you to review, and set up filters that sort new mail. Deleting a label, draft or filter, a filter that archives or deletes mail, changing more than 25 messages at once, turning on a vacation auto-reply and sending a draft each wait for your approval. Kubi never creates filters that forward mail.
- Google Drive: Kubi can organize your whole Drive: folders, moving, renaming and copying files. Sharing, removing access, trash and permanent delete each wait for your approval, and the approval shows who gets access.
- Google Docs, Sheets and Slides: Kubi can edit any file you can edit. Deleting a tab or slide, or clearing a large range, waits for your approval.
- Google Calendar: Kubi can also create, rename and share calendars. Deleting a calendar, sharing a calendar and removing someone's access wait for your approval.
- Google Contacts, Tasks and Forms: Kubi can read them, and add or change what you ask for. Deleting a contact, task or list, and publishing a form, wait for your approval. Kubi never changes or deletes form responses.
Nothing is sent, shared or deleted for good without your OK.
See what is connected
- In Kubi: sign in at heykubi.ai and open Connections. Each connected Google app is listed with the Google address it uses.
- In Google: open myaccount.google.com, then Security, then Third-party access (Your connections to third-party apps & services), and select Kubi to see the access Google granted.
Disconnect
Either way works, at any time:
- In Kubi: heykubi.ai, Connections, then Disconnect next to the Google app.
- In Google: myaccount.google.com, Security, Third-party access, select Kubi, then remove its access.
After you disconnect or revoke, Kubi can no longer reach that Google app. What happens to what it kept is below.
What is kept, and when it is deleted
Kubi reads Google only when a request of yours needs it. It keeps no separate copy of your calendar, your Drive, your contacts, your tasks or your forms. Only for some accounts does it keep a copy of recent mail, and the notice before Google's screen tells you whether yours does.
| Data | What is kept | Deleted |
|---|---|---|
| Gmail | where the mail copy is on: a private copy of your last 7 days of mail, that only your Kubi can read. Otherwise no copy. | on a rolling basis as mail passes 7 days; all of it within 24 hours of disconnect |
| Google Calendar | no copy; read on demand | nothing to delete |
| Google Drive | no copy; read on demand | nothing to delete |
| Google Docs, Sheets and Slides | no copy; read on demand | nothing to delete |
| Google Contacts, Tasks and Forms | no copy; read on demand | nothing to delete |
| Conversation records | what a Google request returned, in the record of the conversation that asked for it | within 24 hours of disconnect, with the search index and quality-check samples made from those conversations |
When you disconnect a Google app in Kubi (Connections, Disconnect), Kubi deletes, within 24 hours, the Google content it kept from that connection: the private copy of your recent mail where one is kept, the results of Google requests stored in your conversation records, and the conversation search index and quality-check samples made from those conversations. Not deleted: the replies Kubi already sent you, which stay in your chat, and notes your Kubi saved to its memory in its own words, which are not traced back to Google (ask your Kubi to forget them, or delete your Kubi). Nightly backups are replaced on a rolling basis and are gone after 30 days at most. If you revoke access at Google instead, Kubi deletes the same content when it next finds the access gone; to have it deleted within 24 hours, also press Disconnect in Kubi.
When you delete your Kubi, all its storage is deleted. To answer you, the relevant text is sent to AI model providers that do not train on it; some may keep it for a limited time for safety checks. The Privacy Policy has the details.
